How will Okta affect a department or shared mailbox that I use?
The requirements to use Okta and MFA are only for Gmail accounts assigned to Endicott employees. Group or inactive employee mailboxes aren't part of this rollout.
I set up my account but nothing seems different, did I do it right?
If you followed the steps and your google account says MFA is on, then yes you did. Because you actually entered a code during the process of setting things up it wont require another code from you for some time, typically not until you log in from a new device or a strange location.
Does Okta require just a one-time verification? Or do we need to verify each time we log in?
The Okta console requires a new login session after a certain period of inactivity. Eventually when you're in workday that activity will keep your session alive, so you wont be required to log back in if you wander away for a few minutes. But daily logins or logins after extended inactivity will be the norm.
Some people rely the mail app on their iPad or iPhone. Do they need to verify through that as well, or is it just a one-time verification?
Once you enable MFA for your account in Gmail it's required for any kind of access. So yes the first time you log in to an iPad to access your email it will prompt for a code. However the way we have it configured, it won't prompt again until they attempt to access it from a new device or a geographically improbable location (i.e. from another country from were they typically access it).
Can people reset their verification means? Someone mentioned they needed to use the "push" method but would rather get text alerts, etc.
Yes, how you authenticate to get into Okta is configured to pick 2 options at login. So each time you log in you choose the options. i.e. choose password, then it'll default to the second option you used last time (push for example) but if you pick the "Verify with something else" option you can change to text if you've set it up. Once your logged into Okta if you click on your name in the top right and choose " settings" there's an option to change/reset/remove your security methods.
I got an email looking like this. Is this real?
Yes! If you got this email, you have not set up your email with MFA yet. You may have set up and downlaoded your Okta account, but there is a step 2! Refer to the documentation if you need further instructions. You can click the Enroll button right from your email to start the process.
