Scheduling a Zoom meeting where guests can enter without the Host
This type of meeting should be restricted whenever possible to internal use only. Examples of why this document exists:
1 - A student hopes to conduct a one-off interview an a recording/transcription/AI summery will be needed and the student does not have a paid Zoom account (Students can have a full Zoom account for a semester if requested by a faculty/staff members).
2 - Internal meetings that take place where the host might have a scheduling conflict but the scheduled start time of the meeting is consistent.
Things to keep in mind:
1 - Zoom accounts can only allow 1 meeting to take place at a time. Be mindful of possible overlaps. The older meeting will be cut off when a new meeting starts.
2 - Nobody in the meeting will be a host. If the meeting ID and passcode exit a trusted group, there is no way to control a Zoom Bombing.
Steps
The person who's Zoom account will host the meeting (or a person that has scheduling permissions on that account) will need to follow these steps.
Step 1 - Log into Zoom
Step 2 - Click Schedule a Meeting
Step 3 - Name and schedule the meeting as you normally would
Step 4 - Under Security, turn the Passcode ON and Waiting Room OFF
Step 5 - At the bottom of the list, click Show next to Options.
Step 6 - Be sure that Allow participants to join anytime is checked
Step 7 - Click Save
