Reserving DMC Field Equipment in Reftab
How-To Reserve DMC Field Equipment 1. Go to Reftab.com, or you can use the mobile app (search "Reftab" in the App Store). 2. Click the "Log In" button in the top right corner and type your Endicott email address where it says "Username." 3. Once you type your email, a box will pop up that says "Login with single sign-on" (click this once it appears). 4. On the next screen, re-enter your Endicott email address and password and hit the "Log In" button. 5. Once logged in, click on the button that says "CMM Equipment WAX118" to see the full inventory of the Digital Media Center. 6. From there, everything is broken down into asset categories, and camera kits are at the bottom of the page. Once you click into a category, you can see what is available. 7. When viewing assets, there will be a button that says "Add to Cart." Press this to add assets to your order. 8. Once ready to submit your reservation, click on the white shopping cart icon in the top right corner of the screen. 9. When selecting your pickup and return day/time, do so in the rectangular boxes under "Pickup Time" and "Return Time" rather than clicking into the calendar itself. 10. You can then come to room #118 in the Wax Academic Center at the date and time listed for your reservation to pick up the gear. Returns will be made with the equipment manager at the same location at the date and time listed as well.

Sign Up for Reftab (Students/Faculty)
How-To Sign Up for Reftab (Students & Faculty) 1. In order to sign up for Reftab and be given the ability to reserve DMC field equipment, students/faculty must first submit the Digital Media Center Agreement Form. 2. Once the form has been submitted, please allow up to the next two business days from when the form was submitted for your account to be activated. 3. If students/faculty sign into Reftab before submitting this form and having their account activated by the DMC Coordinator, they will not have access to the inventory, nor have the ability to submit equipment reservations. 4. If the information required in the form is not filled out properly, students will not be given access to reserve any equipment until it has been corrected. There are no exceptions. 5. If you have any questions, please reach out to the Digital Media Center Coordinator, Will Fazekas, at wfazekas@endicott.edu.

How-To Power On/Off TV Studio
How-To Power On TV Studio 1. Rack #1: The System Main Power button should always be on. 2. Rack #3: Confirm that the Control Room Speakers are on. 3. Rack #7-11: Turn the CCUs on by flipping the three switches (on the left-hand side of the panel where it says Power). 4. Rack #17: Confirm that Channels A & B are on. 5. Rack #32-35: Press the bottom switch (located above the red and green lights) to turn on Broadcast Pix. The monitors will automatically turn on. 6. The computer at the left-hand side of the desk (right next to the rack unit) is used for Broadcast Pix. Once it turns on, select the icon labeled Broadcast Pix. 7. As the software opens a pop-up message will appear about BPNet Account Registration. Ignore this message by clicking the X in the top right corner. The Broadcast Pix software will then continue to open. 8. On the intercom speakers, the talk button should light up blue. 9. The audio mixer's power switch is located on the backside of the board in the right-hand corner (located directly behind where it says Tape In). 10. The black laptop to the right of the audio mixer is for the teleprompters. The prompter software will automatically open. 11. The white Apple computer is used for recording. You can log into it by selecting the Student account (the password is- student). 12. The TV above the recording computer gets turned on at the bottom right. HDMI 1 - puts Broadcast Pix on the screen. HDMI 2 - puts the recording Mac on the screen. 13. To turn on the desk speaker (right-hand side of the desk) the power button is in the lower left corner. 14. The On Air light is next to the studio door (this will light up the sign outside of the control room in the hallway). 15. Directly under the On Air switch is the switch for the regular room lights in the studio. 15. The 12 breaker switches on the wall outside of the studio door need to be turned on in order to use the studio lights. 16. On the table in the studio is the light control board. 17. To turn on the light control board click the blue Power Button located under the screen. 18. There will be a laminated lighting grid on the table for reference. How-To Power Off TV Studio 1. To turn off the light board, bring all the sliders fully down to the off position. 2. Then, press and hold the Power Button for 5 seconds. You will then be prompted to click the Proceed button to fully power down the board. Once off, please put the protective cover back on the board. 4. Once the studio lights and control board are off, flip the 12 breaker switches outside the TV studio door to the off position. 5. Turn off the On Air light outside of the TV studio door if it is on, as well as the regular room lights. 6. To turn off the desk speaker, the power button is in the lower left-hand corner. 7. To turn off the TV above the Mac, the power button is located at the bottom right of the screen. 8. To turn off the audio mixer, the power switch is located on the backside of the board in the right-hand corner. 8. At the metal equipment rack in the control room: Rack #32-35: Press and hold the bottom switch (located above the red and green lights) for about 5 seconds until you see the TVS and computer monitor turn off. 9. Rack #7-11: Turn the CCUs off by flipping the three switches (on the left-hand side of the panel where it says Power). 10. Rack #1: Keep the System Main Power button on.

Reporting Damages/Issues with DMC Equipment and Spaces
How-To Report Damages/Issues with DMC Equipment and Spaces Follow the steps below to report damages or issues with the equipment that is loaned out through Reftab, or if there are damages or issues in the TV Studio/Control Room (#120), or the Post Production Room (#122). 1. Open https://endicott.freshservice.com/support/home and select the red "New Ticket" button in the top right corner. 2. On the next page, fill in all required fields. For the subject, please provide what issue you're having or what type of damage you would like to report. 3. In the "Incident Type" field, select "Hardware Issue." 4. In the "Item" field, select "Digital Media Equipment Damage." 5. If you're reporting damages or issues with equipment loaned out through Reftab, please include in the description of the ticket what the Asset ID number is (this can be found on all gear loaned out by the DMC). Also, please describe in as much detail what damages there are or what issues you're experiencing with the equipment. If you're reporting damages or issues to one of the learning spaces, please include in the description of the ticket what the room number is: #120 for the TV Studio/Control Room, or #122 for the Post Production Room. Also, please describe in as much detail what damages there are or what issues you're experiencing within the space. 6. Once all required fields have been filled out, you can select the green "Submit" button at the bottom of the page. A support representative will then review your report and will send you a personal response (usually within 24 hours).

Use of Digital Media Center (DMC) Field Equipment & Spaces During Academic Breaks
Use of the Digital Media Center (DMC) field equipment and the spaces which includes the TV Studio, TV Control Room, and the Post-Production Rooms, is not permitted during college breaks without prior approval. Reftab will be closed for the duration of the college breaks, and GullCard access to these spaces will be disabled. Reftab and GullCard access will re-open upon the resumption of classes. Requirements Needed for Accommodation Consideration In order to receive approval for an accommodation, all of the following criteria must be met: 1. The student needs to be enrolled in a Digital Media (DM) course, or be enrolled in Senior Documentary Thesis. 2. The content that drives the request can only be captured in the break (an event that takes place in, or the subject of the project is only available during the break). 3. The professor of the course needs to agree (in writing) that the content being captured through this equipment loan is critically needed for the academic project in question. The equipment that will be made available for use over college breaks is based on older stock that is not normally in rotation for use through Reftab. How-To Submit an Accommodation Request Fall & Spring Break- If the above requirements are met, students need to email Will Fazekas at wfazekas@endicott.edu at least 6 business days prior to the last day of regular classes for the academic break in question by 4pm. Requests made after that point will not be considered. Winter & Summer Break- Winter & Summer Break requests will only be made to students enrolled in Senior Documentary Thesis or a Digital Media (DM) course that routinely meets during the break. Students need to email Will Fazekas at wfazekas@endicott.edu at least 15 business days prior to the last day of regular classes for the academic break in question by 4pm. Requests made after that point will not be considered.

Endicott College Digital Media Center Agreement
Endicott College prides itself on having a strong sense of community. Both the Digital Media Center and the Division of Communication have a special obligation to serve the college, its students, faculty and staff. Part of that obligation is to provide students with the opportunity to explore and develop their creative and professional skills. Towards that end, we encourage the use of the video equipment to create entertaining and educational videos and audio projects for digital media classes, ECTV production, and special college initiatives for which an accommodation needs to be made in advance. To ensure that the community is well served by these projects, content standards laid out by the Code of Conduct in the college's Student Handbook must be followed. These standards are designed to respect the creative energies of the media producers and the community at large. Content and Production Standards for all Endicott College Productions Content and production standards for each project should be reviewed with, and approved by, the class professor, the ECTV advisor, or applicable college administrator. For reference to the content and production standards see the FCC guidelines on Obscene, Indecent, and Profane broadcasts. The equipment available for use in and from the Digital Media Center is intended for academic use by digital media classes, ECTV production, and special college initiatives for which an accommodation needs to be made in advance. Endicott equipment is not for personal use or financial gain. Content and production standards for each project should be reviewed with, and approved by, the class professor, the ECTV advisor, or applicable college administrator. When a question arises whether content is in violation of the standards, the Dean of the School of Social Sciences, Communication, and Humanities will be the final arbiter. Non adherence to this agreement is subject to the consequences, which may include access to Endicott's Digital Media Center and its equipment being revoked, being held financially responsible for damages and repairs, and other disciplinary options available to the college. Digital Media Center Usage Policies I agree to follow the set reservation process and will adhere to the assigned days and time blocks to pick-up and return the equipment. I further understand that, unless a reservation is made online in advance, equipment availability cannot be guaranteed. I agree to accept full responsibility for the proper use of the Endicott College Digital Media Center equipment and spaces. I also take full financial responsibility for any damage that results from misuse or improper handling of the equipment and spaces. I agree to report any damage to, or defect of, the equipment and spaces as quickly as possible. I understand that food and beverages are not permitted in the Digital Media Center. I understand that FCC and Endicott College guidelines are subject to change, and I will be expected to adhere to the most current renditions available. Equipment Room Hours of Operation & Reservation Policy The schedule for equipment reservations is as follows: Pick-up gear on Tuesday (between 12 PM - 2 PM) --> to be Returned that week's Thursday (between 12 PM - 2 PM) Pick-up gear on Friday (between 12 PM - 2 PM) --> to be Returned the following Monday (between 12 PM - 2 PM) Accommodations to pick-up and return gear outside of these days/times MUST be made in advance with Will Fazekas at wfazekas@endicott.edu. Reasoning MUST be provided. Accommodations will be addressed case-by-case. Unless an accommodation has been made, reservations MUST follow the posted schedule. Any reservations that do not adhere to these policies will NOT be fulfilled. Digital Media Center 3-Strike Policy Strike 1: Receive a warning about actions that do not adhere to the Digital Media Center Agreement. Strike 2: Repeated actions that do not adhere to the DMC Agreement may result in access to the equipment being limited, and may result in having discussions with the student's professor/other parties as deemed necessary. Strike 3: Access to DMC equipment will be revoked. Any student who has had their access to equipment revoked will need to rely on another student from their class to check-out gear to be used for completion of projects/assignments. Depending on the severity of the violation, other disciplinary actions available to the college may be taken. Violations that may result in a strike: Open food/drinks in the Digital Media Center spaces (TV control room, TV Studio, Post-Production rooms). Being late/not showing up to check-out or return loaned equipment without notice. Damaging the DMC equipment by negligence/failure to report damages. Non-adherence to the guidelines laid out by Endicott College and the FCC. If a student does not return loaned DMC equipment at their scheduled return time: Attempts at contacting the student will be made. After the student's reservation is overdue by 24 hours, the student's professor will be notified. If the equipment is still not returned 24 hours after notifying the professor, the Dean will be notified. After this point, disciplinary options available to the college may be imposed. This could include the freezing of a student's accounts until the loaned equipment is returned, or once the student it charged for the equipment. Please refer to the Student Handbook for more information on the disciplinary options available to the college. Endicott College Digital Media Center 3-Strike Policy
Failure to adhere to the Digital Media Center Agreement may result in suspension of access to the field equipment and facility use, and extreme cases can result in other disciplinary actions available to the college. To facilitate a direct method of tracking infractions, a 3-Strike Policy has been established. Some infractions can result in a single strike, some can result in 2 strikes, while others can result in an immediate suspension of access to the Digital Media Center equipment and spaces. Strike 1 Receive a warning about actions that do not adhere to the Digital Media Center Agreement. Violations that can result in a 1st strike: Food/drinks in the TV Studio, TV Control Room, or Post-Production Rooms. Being late/not showing up to check-out or return loaned equipment without notice. Damaging the DMC equipment/facilities by negligence and failure to report said damage. Non-adherence to guidelines laid out by the FCC and the Endicott College Student Handbook. Strike 2 Repeated actions that do not adhere to the DMC Agreement may result in access to the equipment being limited, and may result in having discussions with the student's professor/other parties as deemed necessary. The DMC adheres to the Endicott College FERPA policies when it comes to notifying parents/guardians about access to the DMC equipment and spaces being limited or revoked. Violations that can result in a 2nd strike: Repeatedly having food/drinks in the TV Studio, TV Control Room, or Post-Production Rooms. Repeatedly being late/not showing up to check-out or return loaned equipment without notice. Repeatedly damaging the DMC equipment/facilities by negligence and failure to report said damage. Continued non-adherence to guidelines laid out by the FCC and the Endicott College Student Handbook. Strike 3 Access to DMC equipment will be revoked. Any student who has had their access to equipment revoked will need to rely on another student from their class to check-out gear to be used for completion of projects/assignments. Depending on the severity of the violation, other disciplinary actions available to the college may be taken. Violations that can result in a 3rd strike: Consistently being late/never showing up to check-out or return loaned equipment without notice. Blatantly damaging the DMC equipment/facilities (clearly not accidental). Blatant non adherence to guidelines laid out by the FCC and the Endicott College Student Handbook. If a student does not return loaned DMC equipment at their scheduled return time: Attempts at contacting the student will be made. After the student's reservation is overdue by 24 hours, the student's professor will be notified. If the equipment is still not returned 24 hours after notifying the professor, the Dean will be notified. After this point, disciplinary options available to the college may be imposed. This could include the freezing of a student's accounts until the loaned equipment is returned, or once the student it charged for the equipment. Please refer to the Student Handbook for more information on the disciplinary options available to the college.

Best Practices for Equipment Check-Outs & Returns
Checking-Out - It is strongly recommended that all gear is tested prior to leaving the vicinity of the Digital Media Center. This is to ensure that all the gear in your reservation is there and properly working. - You are responsible for the gear once it is in your possession. Equipment testing should be performed in a secure location. - Should equipment be missing from your order, you experience issues with the gear, or you need additional gear, please speak with the equipment manager during the DMC hours of operation in Wax #118. The equipment manager will also be able to respond to you via email between 9am - 5pm on weekdays at wfazekas@endicott.edu. Returning - All equipment must be present when returned by the student. Prior to the gear being checked-in, loaned equipment will be inspected in accordance with the "Equipment Return Checklist." - If you experience any issues or the gear is damaged, please make a report to the equipment manager. Equipment Return Checklist Having signed the Digital Media Center Agreement, you accept full responsibility for the proper use of loaned gear. This checklist is available for your reference when preparing the equipment for return to ensure it has been performed properly. - Turn off the camera and remove batteries. - Ensure the camera lens cover is engaged. - Remove the SD card from the camera and put it back into the protective case provided. Close the SD card slot cover on the camera. - Remove the tripod base plate from the camera and reattach it to the tripod before putting it back in the bag. - Unplug all cables and microphones from the camera. Each mic needs to be put back into the appropriate bag. - All cables should be coiled up and placed in the camera bag. - The camera should be put back into the bag in the upright position with no other equipment under or on top of it. - Any additional gear that has been loaned out needs to be repackaged in an appropriate, useable condition in the protective bags/cases it came in. - Camera bags should not be piled on top of one another.

Setting-up and Scheduling YouTube Livestream
Important Note: If you've never gone live before from the YouTube channel that you'll be using, there will be a 24 hour activation window before you can go live. Once live-streaming is enabled on your channel: 1. Sign into your YouTube channel. 2. Click on the "Create" button in the top right of the screen. 3. Click on the "Go live" button. 4. On the left side of the page you will find 3 buttons. The top button says "Stream" which is used if you want to go live now. The middle button says "Webcam" if you want to go live using your computer's built-in camera (this can only be done on Chrome). The bottom button says "Manage" which is to be used if you'd like to schedule your live stream ahead of time (this is the recommended option). 5. Once you select "Manage," click the "Schedule Stream" button in the top right corner. If you have gone live before, you may be presented with a pop-up that gives you the option to "Reuse settings." Click this option if there aren't any settings you want to change. 6. Under the "Details" tab you can add a tile for your stream (this is required), a description of your stream (optional), if you're using the Tricaster for streaming select "Streaming Software" for how you want to go live, you can then select what type of category your stream is, what playlist you'd like it to be added to once the stream ends, and for "Audience" select the option "No, it's not made for kids." 7. Under the "Customization" tab, select whether or not you want to enable "Live Chat" for your stream. If you un-select the Live Chat button, you don't need to change any other settings on this tab. 8. Under the "Visibility" tab, select whether you want your stream to be "Public" for anyone to view, "Private" so only those you choose can view, or "Unlisted" so anyone with the link can view. 9. Then select the date and time when you want to go live. Then click "Done." 10. On the "Manage" page you will now find your scheduled live-stream. From here, you can access your private Stream Key (DO NOT SHARE THIS WITH ANYONE), and your Stream URL. 11. You will need to enter the unique Stream Key and Stream URL into the Tricaster to send media to your YouTube live-stream. 12. Once you are sending media from the Tricaster, it'll appear in the preview window on the Stream Settings page. When you're ready to begin your stream click the "Go Live" button in the top right corner.

Uploading Videos to YouTube
Important Note: If the YouTube channel you're uploading to is relatively new, you may experience daily upload limits depending on how many videos you're trying to publish. 1. Sign into your YouTube channel. 2. Click on the "Create" button in the top right of the screen. 3. Click on the "Upload Video" button. 4. Click the "Select Files" button to locate the media on your device that you'd like to upload. Or, you can drag and drop files into the white box. 5. Once you've located and uploaded your media, under the "Details" tab you can give your video a title (this is required), a description of your video (optional), once the video has finished processing you'll be able to select from a number of still photos that are grabbed from your video to be used as a thumbnail, or you can upload your own photo, you can add your video to an already existing playlist or create a new playlist, and for "Audience" select the option "No, it's not made for kids." 6. Under the "Visibility" tab, select whether you want to make your video "Private," "Unlisted," or "Public." 7. You can then set a scheduled day and time when the video will be published, or you can instantly publish the video.
